Socialization of Official Travel Abroad and International Collaboration Procedure
As a university that will go to World Class University level, Unila is required to collaborate with foreign university to support its performance. Therefore, there are many staff, students, and lecturers in Unila who travel abroad to build cooperation, comparative studies, student exchanges, international seminars and others. However, the procedure for doing official travel abroad has not been understood by each person, which has been regulated by the Ministry of Research, Technology and Higher Education.
This phenomenon makes UPT. PKLI finally held a socialization because it was deemed necessary for all parties in Unila, so that the travel information was known by all parties involved. This activity was held in the Ruang Sidang, Second Floor of Rectorate Building and attended by the boards of manager at the University, Faculty, and Department levels. The event also invited 2 speakers from the Ministry of Research, Technology and Higher Education in Jakarta, namely Mayrianti Annisa Anwar as Representative from the Bureau of Cooperation and Public Communication of the Ministry of Research, Technology and Higher Education, and Anis Apriliawati, S.S., M.Sc. as a Representative of the Ministry of Education and Culture’s Directorate General of SDID delivered in the form of a panel discussion.
In her presentation, Annisa said that the Ministry of Education and Culture had facilitated this by making a cooperation information system that could be uploaded on the sikma.ristekdikti.go.id page, so that each report was integrated between the University and the Ministry of Research, Technology and Higher Education.
Applicants for official travel must also report their travel plans to the State Secretariat (Setneg) through the system. Thus, the applicant can collect the file to be uploaded to the Setneg SP System through the UPT. PKLI staffs. Documents needed are: Cover Letter, Letter of Assignment, Invitation Letter and Meeting Agenda, Curriculum Vitae (CV), KTP, and Cost Source. Another info which Annisa gave was, “People usually do mistakes in reporting the date of the activity”. Therefore, Annisa reiterated to the audience that what was reported was the date of activity rather than departure.
Then, the discussion was continued by Anis as the SDID representative of the Ministry of Research, Technology and Higher Education. She said, “Next year all the systems related to official travels abroad are planned to be integrated with the system between the Ministry of Foreign Affairs and immigration so that the required documents can be taken to the immigration office in their respective cities. It makes the regulation easier for those concerned to carry out official trips abroad. However, the use that has been based on an online system must be done in a disciplined manner, and prepared earlier”.
